Job Description

We are seeking a versatile, highly organized, and detail-oriented Office Assistant to join our team. The ideal candidate should exhibit excellent organizational skills, demonstrable experience in a secretarial role, be intuitive to the needs of senior management and work autonomously to provide customized administrative support. Duties:

• Entering data, maintaining databases, and keeping records,
• Handling internal and external correspondence
• Scheduling appointments, maintaining events calendar, and sending reminders,
• Coordinate all staff travel arrangements (booking airfare, arranging all hotel and transportation accommodations, and generating travel itineraries),
• Able to arrange conference calls, webinars, video conferencing, etc.
• Copying, scanning, and emailing documents, as well as taking notes,
• Ordering office supplies and replacements, as well as managing mail and courier services,
• Running errands as needed
• Personal assistant to senior management.

• Strong ability to take direction, but also exercise independent thought and judgement, while proactively performing assigned tasks
• Proven experience in an office setting or similar role
• Proficiency in computer literacy, including Google Suite
• Strong organizational skills and attention to detail
• Excellent communication skills, both written and verbal
• Ability to multitask and prioritize tasks effectively
• Familiarity with basic phone systems is advantageous
• Able to work nights and weekends on occasions.
