Job Description

Seeking an experienced Medical Practice Manager for a medium sized established multispecialty vascular medical practice with both clinical, imaging, and procedural departments.

The ideal candidate will have experience in practice management to include managing clinical and procedural employees in multiple departments with associated leads as well as oversee billing and coding, insurance precertification, and marketing.

Someone best suited for this role will have prior experience as an office manager in a medical practice with multiple physicians.

Responsibility will be graduated over a few months and will ultimately include overseeing precertification of both ultrasounds and procedures, and overseeing the billing department which will include monitoring weekly reimbursements and denials. The office manager will have a long term goal to optimize the performance of the practice. The departments being overseen already have skilled employees who have been at this organization for extended periods of time.

This individual will work closely with the physician partners to develop protocol based changes, and provide weekly and monthly reviews.

The primary duties and responsibilities are as follows:

Office and Facilities Management

• Manage daily office activities to ensure smooth operations. The ideal candidate will be familiar with eClinical, ADP, Excel, and a variety of billing and coding software.

• Oversee front office intake/secretarial issues to ensure the appropriate patient and referral information is obtained and processed appropriately.

• Manage medical assistant and chart preparation issues which will allow for the practice to run smoothly and provide increased patient satisfaction

• Act as the primary point of contact to building management for facilities related equipment including electrical, HVAC, plumbing, security, etc.

• Assist in the onboarding process for new hires

• Use creativity and compassion to build an inclusive, positive company culture

• Contribute ideas to resolve administrative problems

• Responsibility will be graduated over a few months to include further roles as described below

• Managing billing department in conjunction with billing lead.

• Managing marketing staff

• Manage the ultrasound department

• Managing procedural side with associated procedural leads

What You Bring to The Team

• College degree, previous office management experience with 3-5 years required at a medical practice with multiple physicians.

• Knowledge of medical software (eClinicals). Knowledge of clearinghouse billing companies and how denials and approvals are obtained with insurance companies.

• Excellent organizational skills, time management skills, and attention to detail, including anticipating needs and being proactive.

• Displays a high degree of professionalism to maintain confidential information, deal with people tactfully, and help establish strong relationships.

• Strong teamwork skills; and a confident ability to offer suggestions and improvements to process and work collaboratively with others
